Admin Executive, YOE – 2+, Pune (On-Site)
Requirements
- Infrastructure & Facility Management: Ensure smooth functioning and upkeep of office facilities including maintenance, utilities, and seating arrangements. Liaise with service providers and ensure timely issue resolution.
- Travel Desk Operations: Manage domestic and international travel logistics flight/train bookings, hotel reservations, local transport ensuring cost-efficiency and comfort for employees.
- Procurement & Purchase Management: Handle the complete procurement lifecycle raising purchase orders, obtaining quotes, vendor negotiations, and timely receipt of materials.
- Vendor & Supplier Coordination: Maintain relationships with vendors, including onboarding, contracts, payments, and performance monitoring. Ensure compliance with service-level agreements.
- Financial Administration: Manage administrative financial records, including expense tracking, receipt management, and budget reporting in coordination with finance teams.
- Material & Asset Management: Coordinate with hardware and implementation teams to track inventory, inward/outward movement of assets, and ensure availability of stock.
- Administrative Support: Support interdepartmental activities like internal events, office logistics, and HR-admin coordination including onboarding, ID issuance, and workstation allocation.
- Documentation & Reporting: Maintain accurate and up-to-date logs of travel, procurement, expenses, and vendor contracts. Generate periodic reports as required.
- Graduate in any discipline; preferred: degree/diploma in Business Administration, Supply Chain Management, or Operations.
- 2+ years of experience in administrative operations, procurement, or infrastructure coordination.
- Proficiency in MS Office tools Word, Excel, Outlook.
- Strong negotiation, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Highly organized with an eye for detail and ability to work independently.
